kSuite 2026: One Year In — What We Really Think

It's been over a year since we made the full switch to kSuite as our primary suite. We came from a Google Workspace + Zoom + Slack stack. Here's an honest look at what actually changed — the good, the less good, and everything in between.

Why We Switched to kSuite

The main trigger was regulatory: a client asked us to demonstrate that we had no data processed outside the EU/Switzerland. With Google Workspace, that's essentially impossible to guarantee (CLOUD Act exposure, US sub-processors). With kSuite, Infomaniak is our sole processor, based in Switzerland, outside US jurisdiction.

Secondary reasons: consolidating 4 subscriptions (G Workspace + Zoom + Slack + Dropbox) into one.

12 Months Later: The Honest Assessment

What Genuinely Works Well

kDrive: Excellent

kDrive has been our biggest positive surprise. The desktop sync client is stable — we haven't had a single sync conflict in a year (our previous OneDrive record was one incident per week). OnlyOffice integration is seamless: collaborative editing works in real time, track changes are preserved, and DOCX/XLSX/PPTX compatibility is excellent.

kMeet: Solid for Regular Use

kMeet (based on Jitsi) handles our 2-30 person meetings well. Video quality is good, screen sharing works reliably. The main limitation: no recording to cloud (you have to record locally). The waiting room and moderator features work as expected.

Email: Genuinely Professional

The Infomaniak webmail (kMail) is clean and fast. IMAP/SMTP settings work perfectly with Outlook, Apple Mail, Thunderbird. Anti-spam is effective. We haven't had a significant deliverability problem in 12 months.

What's More Mixed

kChat: Functional, But No Slack

kChat is based on Mattermost, so it's solid and reliable. But the plugin ecosystem and integrations are thinner than Slack. Threads work, notifications work, mobile app works. We do miss Slack's Workflow Builder for automating simple tasks. For a team that doesn't need advanced automation, kChat is more than sufficient.

kSuite Calendar: Works, But Missing Some UX

The shared calendar does what it needs to do. Resource booking (meeting rooms) works. But the scheduling assistant (like Google Calendar's "find a time") is more limited. We've adapted by using kMeet's built-in availability planner for complex scheduling.

What Needs Improvement

Mobile Apps: Behind the Web Experience

The iOS/Android apps for kDrive and kChat are functional but lagging behind the web experience in terms of polish. File previews, notifications, and offline mode have all had occasional issues. Infomaniak is updating them regularly, and the trend is positive — but desktop/mobile parity isn't quite there yet.

Who Should (and Shouldn't) Switch to kSuite

kSuite is ideal for:

• Companies that handle sensitive data and need clear European sovereignty
• Teams of 5-200 people looking to consolidate tools
• Organisations subject to GDPR, nLPD, or sector-specific data regulations (law, healthcare, accounting)
• Companies tired of unpredictable price increases

kSuite may not be the right fit for:

• Teams deeply embedded in Google Docs real-time collaboration style (Docs/Sheets have specific UX patterns)
• Companies using heavy Slack integrations (Salesforce, Jira, GitHub bots)
• Organisations needing enterprise-level SSO/SCIM immediately (available but still maturing)

Our Overall Score After 12 Months

Overall: 8/10 — kSuite delivers on its promises. The combination of Swiss sovereignty, competitive pricing, and functional completeness makes it our recommended productivity suite for European SMEs in 2026. The mobile experience and integration ecosystem are the main areas still catching up to the competition.
